Resellers operate at a completely different scale than casual buyers. A reseller basetao spreadsheet must track not just what was ordered, but what it costs, what it sells for, who bought it, and whether the transaction was profitable.
This guide shows you the exact basetao spreadsheet structure that successful resellers use. It covers inventory tracking, profit margin calculations, buyer management, and tax-ready reporting.
The Reseller Column Setup
Resellers need more columns than casual buyers because every item passes through multiple financial stages. Here is the standard reseller column architecture:
Recommended Column Structure
Item / Link / Size
Same as standard buyer columns. Essential for agent communication.
Buy Price / Shipping In
What you paid to get it to your warehouse. Includes item cost + domestic shipping.
Intl Shipping / Agent Fee
Cost to get it from warehouse to you. Track per-item share of total shipping.
Total Landed Cost
Formula: D+E+F+G. Your true break-even price. Never sell below this number.
Listed Price
What you ask buyers to pay. Usually 1.5x to 2.5x landed cost depending on demand.
Sold Price
What you actually received after negotiation or fees.
Profit
Formula: J-H. The real number that determines if your business is viable.
Margin %
Formula: (J-H)/H. Shows profitability as a percentage. Aim for 40%+ on most items.
Buyer / Platform
Who bought it and where (Instagram, Discord, local, etc.).
Status
Ordered, In Stock, Listed, Sold, Shipped to Buyer, Completed.
Inventory Management at Scale
- Total items currently ordered (using COUNTA on the Item Name column)
- Total landed cost of unsold inventory (SUMIF where Status = "In Stock")
- Total profit this month (SUM of Profit column filtered by Sold Date)
- Average profit margin (AVERAGE of Margin % column for completed sales)
- Best-selling category (use a pivot table or QUERY to group by item type)
Tax and Record Keeping
Resellers in most countries must report income and may deduct business expenses. Your basetao spreadsheet becomes your primary record. Add a "Tax Year" column and a "Receipt Link" column where you save screenshots of payments.
At tax time, filter your sheet by the current tax year. Export the filtered view as a CSV. Your accountant will thank you, and you will thank yourself if you are ever audited.
| Metric | Target | Formula | Why It Matters |
|---|---|---|---|
| Profit Margin | > 40% | =(J-H)/H | Covers fees, returns, and slow inventory |
| Inventory Turn | < 30 days | Sold Date - Order Date average | Cash tied up in stock is cash not working |
| Return Rate | < 5% | Returns / Total Sales | High returns mean QC or description issues |
| Buyer Repeat % | > 20% | Repeat Buyers / Total Buyers | Cheaper to keep buyers than find new ones |
Never mix personal and reseller orders in the same basetao spreadsheet. Create separate sheets to keep your business records clean.
Add a "QC Grade" column (A, B, C) based on warehouse photos. Grade A items sell faster at higher prices. Grade C items should be discounted or returned.
Track your time. Add a "Hours Spent" column and multiply by your hourly rate. Many resellers discover they are earning less than minimum wage when time is included.
Use a separate tab for "Buyer Contacts" with names, platforms, payment methods, and shipping addresses. This speeds up repeat sales.
